Bylaws

The section between the lines is a direct copy from the 2012 Bylaws.  Please do not edit.


Article IV. Section 1C. Term.

The term of office of the Recording Secretary shall be two (2) years. An individual may not serve more than two successive terms as Recording Secretary. 

 

Article IV.  Section 2D. Duties.

Duties of the Recording Secretary shall be:

  1. To be responsible for incoming and outgoing correspondence; 
  2. To prepare minutes of all meetings;
  3. To record and report any formal votes taken by the Executive Board between business meetings;
  4. To maintain the official current version of the Chapter bylaws;
  5. To conduct Chapter business in the absence of both the President and President-Elect;
  6. To perform all other duties prescribed by [the] Bylaws and by the parliamentary authority adopted by the Chapter 

 


Ongoing

  • Serve as a voting member of the Executive Board.
  • Record formal actions of the Executive Board, including matters requiring a formal vote, and publish on the web site through Communications Committee within two months.  Confirm email votes at in-person meetings.
  • Make necessary amendments to bylaws following adoption and publish on the web site.
  • Make sure that Chapter stationary (electronic) is available in the wiki and archive the template when a new logo is chosen.
  • Submit items of interest to the Communications Committee.
  • Submit documents to the Archivist.
  • Arrange for a timely transfer of authority, documents and other materials to the incoming Recording Secretary.

Attend April Executive Board Meeting. Take minutes.  Record all motions and action items.
June Attend June Executive Board Meeting, Take minutes.  Record all motions and action items.
July/Aug Publish approved minutes from the April meeting and draft minutes from the June meeting on the web site and chapter-members email list.  Clearly indicate all revisions made to draft minutes.
August Attend August Executive Board Meeting. Take minutes.  Record all motions and action items.
Sept/Oct Publish approved minutes from the June meeting and draft minutes from the August meeting on the web site and chapter-members email list.  Clearly indicate all revisions made to draft minutes.
October Attend October Executive Board Meeting and the Annual Business Meeting, Take minutes.  Record all motions and action items.
